Thank-You Letter: Purpose
After the interview, write a thank-you letter to the interviewer within two business days.
The purpose of this letter is to show appreciation for the employer’s interest in you. If more than one person have interviewed you, send thank-you letters to each of them.
A thank-you letter gives you an opportunity to restate your interest and remind the employer of your qualifications. If you thought of something you forgot to mention in an interview or in a previous letter, mention it now. Follow up with any information the employer may have asked you to provide.
Thank-you letters demonstrate that you have good manners. They should be short: three paragraphs at the most. Don’t try to market yourself again. A thank-you letter just reinforces what you have already said.

In the first paragraph, thank the potential employer for the service he performed. Express your enthusiasm about the event and what it meant to you (for example, the employer interviewed you).
In the second paragraph, restate your point and your continuing interest. Include any information you forgot to mention during your interview. Emphasize a particular quality or accomplishment that would show you at your best.
In the closing paragraph, briefly thank the employer again. Express confidence in your ability to move forward because of the action the employer performed. State that you look forward to hearing from the employer and give a specific date if you plan to follow up with a phone call.

Follow-up Letter: Purpose
A follow-up letter is sent to an employer after sending your resume for review or after you have made contact with a company. The purpose of the follow-up to an interview is to remind the employer of your interest and to keep your name fresh in his mind.
The purpose of a follow-up letter is to say that you are still interested in the job. It could also inquire about the status of your application and offer to provide additional information that may help in the evaluation of your qualifications. It may also encourage the employer’s response.
In the follow-up letter, your introduction will mention either your resume submission or a previous conversation regarding the position. It should include a few key points that make you qualified for the position. The ideal follow-up letter will be short, concise and to the point.
It’s a good idea to send a follow-up letter if you have not heard from the company within 1-2 weeks after contact.
It is possible to send a follow-up letter after an interview and after a thank-you letter if you have not heard anything from the company after a reasonable length of time. You would want the follow-up letter to arrive during the employer’s decision-making period.

In the opening paragraph, thank the interviewer for their time and for allowing you to learn about the position. Mention your resume submission, if this is the case.
In the second paragraph, give your personal view of your interview or visit. Write about your impressions of the company. You may want to point out any new information that you learned about the company during your visit. If there is any new information about your education or work experience that you believe would be helpful, give those as well.
In the final paragraph, be positive. The letter’s intent is to show the interviewer that you are thorough, courteous, efficient and, most importantly, that you are sincerely interested in the job. It is likely that sending this letter will set you apart from the crowd.
Close the letter with contact information and a willingness to be contacted.

Acceptance Letter: Purpose
Use this letter to accept a job offer. The acceptance letter for a job offer is one of the most pleasant letters to write.
Your letter should confirm the terms of your employment (especially, job title and salary). It should repeat clearly anything discussed between you and the organization or the person offering you the position, including starting date. It is making your relationship official.
Send an acceptance letter as soon as you are absolutely sure that you want to accept the job offer. If you need more than two weeks to decide whether or not to accept an offer, telephone or write the person making the offer and ask for an extension of time to decide.
Accept the job gladly but be careful not to be overconfident.
